PDFs are familiar, but they age quickly

Many apartment hosts start with a PDF because it is easy to collect house rules and instructions in one document. The problem appears with the first change: a new Wi-Fi password, a different key handover or an outdated recommendation means replacing and resending the file.

WhatsApp messages only solve part of that problem. The information is close at hand, but it gets buried among conversations with other guests.

Online wins when guests are in a hurry

Before arrival, guests look for the address and entry instructions. After arrival, they look for Wi-Fi, parking or heating instructions. In those moments, opening one link on a phone is easier than finding the right file.

An online guide can also include a QR code in the property. Guests do not need to ask you to resend instructions, and you do not need to reprint the whole document after every change.

When should you choose a PDF?

A PDF still makes sense as an offline copy, a printed handout or an attachment in your own workflow. If it is going to be the main place guests find information, an online version is simpler to use and maintain.
